GEN Tool 1 - Purchase Order Created


The Purchase Order (PO) is created in Purchasing module (via the hourly batch process named Auto Sourcing).

The Kansas Buyer, to whom the PO is assigned, reviews, edits (if necessary), and approves the PO.

Arrow Icon - User: Please proceed to the next step in the process.

The hourly batch processes run.  The PO passes through the Budget Checking batch process to verify the ChartField values, distribution information (accounting information), and budget availability for the PO transaction.
In this example:  The PO successfully passes the Budget Checking batch process, and is assigned a "Valid" Budget Status.

The hourly batch process for dispatching PO's runs.  (The hourly Dispatch batch process sends the PO to the vendor).
In this example:  The PO is successfully sent to the vendor via email, and is assigned a "Dispatched" PO Status.

Arrow Icon - User: Please proceed to the next step in the process.

In this example:  The vendor successfully receives the PO and processes the order, shipping it to the Agency.

Arrow Icon - User: Please proceed to the next step in the process.

The Agency Receiver receives the shipped items and creates a Receipt for the items in the Purchasing module.

Optional:  If any of the items are damaged, or need to be returned to the vendor for any reason, the Agency Receiver or the Kansas Buyer may create an RTV (Return To Vendor) transaction in the Purchasing module.
